Take the process you are thinking about automating, count the hours it eats a week, and multiply by what an hour of that person's time costs. If the build does not beat that number inside a year, it is the wrong build. That is the test we apply before we quote, and it is the reason we talk people out of this more often than into it.

We watch the manual version

Before anything is designed we sit with whoever actually does the job. The pain is almost never where the owner thinks it is.

We cost the hour, not the feature

If a process takes four hours a week, that is what the build has to beat. If it will not beat it, we say so and you keep your money.

Smallest useful thing first

One workflow, live and in real use, before anything else gets built. A system nobody uses is the most expensive outcome here.

It grows with the business

Dart started as a website. The finance system came later, because by then we could see exactly where the money was leaking.

Software is the last thing we sell, not the first

It only pays back when there is enough volume or enough admin pain to justify it. If there is not yet, we will tell you, and the answer is usually a better process or a spreadsheet somebody actually maintains.

Before you commission anything custom

How much does custom software cost?

It depends entirely on scope, which is why we scope it as a paid discovery or a fixed first phase rather than guessing at a number. What we will not do is quote a large build off one conversation.

Why not use an off-the-shelf system?

Often you should, and we will say so. Custom earns its place when your process is genuinely an advantage, or when the off-the-shelf option would make you change how you work for the worse.

Who owns the code and the data?

You own the data outright and it lives in a database in your name. The system is built for you; the reusable building blocks we develop with stay ours, which is part of what keeps the cost down.

What happens if it breaks?

It is covered by the monthly. Bugs get fixed, and the system is monitored rather than left to fail quietly. Anything genuinely new is quoted before it gets built.

Can it talk to what we already use?

Usually. Feeds, exports and APIs are normal work. The thing we check first is whether your existing system will actually let data out, because some of them deliberately will not.
